Student Management

How to configure student access for your courses and galleries and what type of access restrictions you can apply. Monitor students that access your galleries and courses with links to their full student profiles.

Updated over 2 weeks ago

Student management provides a way to configure access to your content in galleries and courses so you're in control of who can see your content and when.

The Students tab provides 3 main options: Public, Sign Up, and Paid Access.

Public Enrollment

Anyone with a link to the gallery or course will be able to access it and open it.

Sign Up Enrollment

Requires students and viewers to sign up with an email address and password. This option also allows you to control access using various locking mechanisms. More on that below.

In order to activate login only access for your gallery or course simply select Sign Up from the drop-down:

Access Types

There are several student access expiration parameters available to meet your diverse needs.

Never Expire - This means access never expires and will work for as long as it exists. The only way to remove access would be to delete the actual student.

After X unlocks - This limits the number of times the code can be used. If you choose this option and add 5, the student can only log in 5 times before their access expires.

On a particular date - The student's access will work as many times as it's used, but will expire on the date set.

Time after unlock - Set how long the student can access, activated after the first login. For example, setting this to 10 days means that the student access will work for only 10 days after its initial use.

In this example, I will choose to have the codes expire on December 1st.

Now, any newly students will have limited access until December 2026.

Self-Registration

When enabled anyone with the course/gallery link can click the sign up button on the front end and register themselves using an email address and password.

Require Approval

If self-registration is enabled this options is available. When enabled, anyone who registers themselves for access to your course/gallery will be sent to your dashboard to approve or deny.

If turned OFF, then anyone can register to access the gallery/course with their email and a password. Think of it as using your gallery/course as a lead generation page. You are making the page public and allowing anyone to register with their email. This would likely be used for lead generation.

Fraud Protection

When enabled, we use AI technology to block the sharing of logins using geolocation information and time of access.

As an option you can also set a device limit so that your registered students cannot share their login credentials with unauthorized individuals. Please note, each browser is considered a new device even if they're using the same computer/smartphone.

If set to '0' then this is unlimited devices.

Add Students Manually

To add student to your gallery/course, click on the Add Student button.

If you have this student added to your account already (in another course or gallery for example), you can just search your existing database of students and add them.

To add a new student manually, click Create New Student and enter their email address and password. Then click Create.

Currently we are not emailing the student their credentials. You will need to send their credentials to them.

Paid Access Enrollment

Allows you to connect your Stripe account to Spotlightr and require payment in order to access the gallery or course.
